Responsibilities and Duties

  • Exhibits exemplary customer service. 
    • Responds quickly, efficiently and in a professional manner.
    • Performs daily issuing of verbal and formal purchase orders
    • First contact for all phone requested purchase orders.  Answers Purchasing Department phone calls and emails immediately to provide a quick response.
    • First contact for all requests via Purchasing Group email from employees.  Responds to requests the same day as received whenever possible.      
    • Interfaces with Accounts Payable on invoice issues.
  • Processes all open PO’s within a week of issuing.
  • Resolves problem invoices.
  • Resolves open committed cost reports. 
  • Performs pricing for: Service and shop tickets.
  • Completes all formal purchase order requests via the link.
  • Completes requests for quotes from field and project management.

Qualifications and Skills

  • Education: Must have a high school diploma or equivalent.  An Associates Degree is preferred but not required. 
  • Experience:  At least 2 years of full-time clerical/data-entry related experience is required. Phone and customer service experience is preferred.
  • Previous construction or HVAC industry experience is preferred but not required. 
  • Computer Skills:  Accurate typing skills and proficient in using database, email, internet, spreadsheet, and word processing applications: specifically, Microsoft Office products (Word, Excel, Outlook and Windows); willing to learn new software applications.
  • Customer Service - manages difficult situations; responds promptly to customer needs;; responds to requests for service and assistance; meets commitments.
  • Communication Skills - good oral and written communication skills
  • Must be able to satisfactorily pass a criminal background check and drug screen.
