Job Summary

  • The position is clerical as well as administrative support of project management team.
  • This position is an important part of the project management team(s) to which he/she is assigned; he/she is a vital part of good information management for assigned projects.  Additionally, this position provides logistic support and coordination needed to plan and execute important meetings and conferences.
  • This position contributes to the success of the company by effectively and efficiently supporting project managers and, when required, other P1 leaders.

Responsibilities and Duties

  1. Administration and Information Management
    1. Requests, receives, prepares, edits, electronically stores in the project management software, and/or monitors basic project management correspondence such as:
      1. Scope and bid letters
      2. Addendums
      3. Drawings and specifications
      4. Submittals, to include maintaining a submittal log
      5. Requests for Information (RFIs)
      6. Architect’s Supplemental Instructions (ASIs) and Requests for Proposals (RFPs)
      7. P1 Change Proposals
      8. Close out documents to include operations and maintenance (O&M) manuals, warranty letters, and as-builts
    2. Processes subcontracts and monitors subcontractor compliance such as certificates of insurance, bonds and executed copies.
    3. Orders and produces copies of plans and specifications, as needed.
    4. Saves copies of P1 Change Proposals in project management software and updates status.
    5. Expeditiously processes contracts and change orders, when required.
    6. Orders and submits certificates of insurance and bonds to customers, as needed.
    7. Sends bid requests and gathers quotes from suppliers, as directed by the project manager.
    8. Prepares committed cost reports as required by the project manager.
    9. Prepares and assembles Operations and Maintenance (O&M) manuals.
    10. Assists project managers with P1 processes and procedures.
  2. Logistics Support and Coordination
    1. Plans, coordinates, and supports meetings, training sessions, and conferences.
    2. Coordinates travel for the project managers and, when needed, for Operations Managers and/or Vice Presidents.

Qualifications and Skills

  • Education: Must have a high school diploma or equivalent.  An Associates Degree is preferred but not required. 
  • Experience: At least 2 years of full-time administrative assistant related work experience is required. Previous construction industry experience is preferred but not required.
  • Computer Skills:  Accurate typing skills and proficient in using database, email, internet, spreadsheet, and word processing applications: specifically, Microsoft  products (Word, Excel, Outlook and Windows); willing to learn new software applications.
  • Customer Service: manages difficult or emotional customer situations; responds promptly to customer needs; solicits customer feedback to improve service; responds to requests for service and assistance; meets commitments.
  • Communication Skills: good oral and written communication skills
  • Able to work in a fast paced environment while maintaining accuracy.
  • Fast and accurate data entry skills - very important.
  • Able to work independently and maintain confidentiality.
  • Excellent oral and written communication.
  • Excellent organizational skills and detail oriented.
  • Excellent customer service.
  • Good reasoning ability and be able to quickly problem solve and resolve issues.
  • Must be able to satisfactorily pass a criminal background check and drug screen.
